Summary Description
• Assists Associate General Counsel & Assistant Secretary in a variety of administrative and secretarial duties including travel and meeting scheduling and arrangements • Serves as backup support to and works as part of a two person team with the Executive Assistant to the Executive Vice President, Secretary & General Counsel to coordinate work of the office • Performs paralegal tasks for Associate General Counsel and Executive Vice President • Coordinates and carries out assignments of a sensitive nature with discretion • Responsible for receiving and distributing Recommendation for Grant Action (RGA’s) to the Associate General Counsel and Resident Counsels for review before Officers Meetings • Prepares initial draft and then assists with minutes for committee and full Board of Trustees meetings • Under the discretion the of Associate General Counsel & Assistant Secretary writes and sends out routine correspondence • Independently manages the Foundation’s registration process for the Council on Foundation’s Annual Conference. This includes interacting with Program VP’s for attendance and budget approval as well as acting as liaison between the Council on Foundation’s Registration Office and Foundation staff. Handles all registrations, payments and cancellations • Assists in preparation of documentation and logistics for the Board of Trustee meetings • Records and coordinates vacation schedules and other absences for cost centers reporting to the Associate General Counsel & Assistant Secretary • Reviews for accuracy requisitions, travel authorizations, etc. submitted for approval to Associate General Counsel & Assistant Secretary • Responds to inquiries from the public

Qualifications
Significant experience demonstrating maturity, discretion, leadership, problem solving skills, good judgment, ability to prioritize and work well under pressure. Excellent communication skills. Detailed facility with Microsoft Office, internet navigation and at least five years experience in a related function.

Preferred Qualifications
B.A. or undergraduate level experience. Shorthand or speedwriting ability, PowerPoint and notary public.

Salary
$55,000 – $65,700
